Excel and Sheets leak through columns you did not mean to include. The chart was fine. The salary column two inches to the left was not. Spreadsheets pack names, SSNs, emails, and account numbers into tight grids, and one snip of “the chart” often keeps the raw table beside it, plus a formula bar that reprints the selected cell in full.
This page owns that grid chrome: adjacent PII columns, freeze-pane headers that stay visible while you scroll, sheet tabs named after people, Windows title bars and OneDrive paths that name the file, and pivot row labels that are still a roster. Hide or crop unused columns in the sheet first if you still control the file. That is hygiene for the next capture. It is not redaction of a PNG you already took. Freeze panes keep PII headers visible while you scroll a “safe” region. Named-range labels, comments, and the status bar count of selected numbers all travel with a full-window snip.
- Name, email, phone, and address columns next to the chart you meant to share.
- Salary, bonus, commission, and equity cells, including totals that reverse-engineer a person.
- SSN, national ID, tax ID, bank account, and routing number columns.
- Header rows and freeze panes that keep PII visible while you scroll.
- Sheet tabs named after people, clients, or payroll cycles.
- Windows title bar and OneDrive path if the file name is the leak.
- The formula bar reprinting the selected cell's value.
- On Google Sheets: browser URL and share chip that can name the owner.
Crop to the chart or pivot when the chart is the proof. You skip an entire PII table. If leadership needs the numbers, paste barred aggregates into a new sheet and capture that. Do not soft-blur the payroll grid for speed.

Salaries, SSNs, and account numbers are short digit strings. Soft blur and mosaic fail on those. Use a filled black rectangle over every ID and compensation cell that stays in frame. On Google Sheets, the rules do not change. The URL and share chip can name the file owner. Cover the browser chrome when the sheet leaves your team. Students pasting grids into assignments should cover classmates the same way. See blur a screenshot for class.
Charts, pivots, and filtered views
A pivot that still shows employee names in row labels is a roster. Filter to anonymous IDs before you capture, or bar the label column. Chart tooltips that appear mid-snag can flash a person's name. Wait them out or bar the tooltip. Conditional formatting that turns a salary red still shows the number.
Hiding a column in Excel hides it from a careful crop. It does not hide it if you snip the whole window, and it does not rewrite a PNG you already took. Black cell fill in the live sheet helps the next capture. It does not fix the old one. If a total plus a small team size reveals one person's pay, bar the total too. How to blur an Excel screenshot
Click a blank cell before capture so the formula bar is empty. Prefer a tight region around the chart over a full workbook window.

- Capture a tight region of the chart or the few cells you need. Skip the formula bar and sheet tabs when they are not the proof.
- Open the snip in the screenshot blur tool. Editing stays in this tab.
- Choose Black bar and Box. Cover name, salary, SSN, and account columns, freeze-pane headers that still show PII, and any title bar or Sheets URL that names the file.
- Optional: Find text to jump to email-shaped cells, then bar each hit with padding. Zoom to full size. If you can guess a digit, enlarge the rectangle.
- Tap Download PNG. Attach the PNG. Do not also attach the workbook for context.

Troubleshooting
- I hid the column and it still shows. You snipped before hiding, or freeze panes still show the header. Bar the pixels you send. Do not rely on Excel hide alone.
- The formula bar reprints the SSN. Click a blank cell before capture, or bar the formula bar in the PNG.
- The blur looks tidy on white cells. That is the failure mode. Switch to a filled black rectangle.
- A total gives the person away. If a total plus a small team size reveals one person's pay, bar the total too.
- Google Sheets leaked the owner in the URL. Crop or bar the address bar and the share chip before the file leaves your domain.
What managers still ask for (and how to answer)
“Just send the sheet” is the fastest way to leak an SSN column. When a manager wants proof of a chart, ask which cells are the point of the meeting. A cropped PNG of the chart plus the two totals they named is usually enough. If they insist on the whole grid, bar every name, salary, account, and email column before the file leaves your laptop. Your job is not to argue policy in Slack; it is to refuse to attach the raw .xlsx when a redacted snip answers the question.
Shared drives make the same mistake with permissions. Someone pastes a screenshot into a channel that includes vendors. The freeze-pane header still shows last names. The formula bar still shows a Social Security number from the last cell click. Treat those chrome leaks as part of the spreadsheet, not as decoration. Bar them the same way you bar the cells.
Google Sheets adds a share chip and a long URL that can name the owner or the folder. Crop the browser chrome or bar it. Excel Online reprints the workbook title in the tab. If the title is “Q3 salaries final,” rename or bar it before capture. The workbook name is PII when it describes the people inside.
